Copy and paste formatted text

IMPORTANT: Please do not copy and paste content from any other formatted document directly into the rich text editor (RTE) in the CMS.

This applies especially to content from Microsoft Word, but it also applies to content from any other formatted document - for example, email messages, spreadsheets, and other sources of formatted (or 'rich') text. Instead, please follow the steps detailed on this page to safely copy and paste content from these sources.

How to safely copy and paste rich/formatted text into the editor

  1. Highlight the text in the source document.
  2. Copy the text to the clipboard by pressing Ctrl+C.
  3. There are two options for pasting:
    1. Click on the Paste as plain text button ("Paste as plain text") button in the rich text editor (RTE) toolbar. This is the safest option. Use this option when you do not need to retain any formatting (such as tables, headings and bullets) or if you are comfortable reapplying any necessary formatting in the RTE.

      OR
    2. Click on the Paste from Word ("Paste from Word") button. This will retain certain types of basic formatting (such as paragraphs, tables, bullets and bold/italic text). The results are not as predictable as pasting plain text; however, it is safe to use this option if the formatting in the source document is not too complex.
  4. Paste the text into the dialog window by pressing Ctrl+V.
  5. Adjust the line spacing by deleting and inserting line breaks as necessary.
  6. Click on the Insert button. The contents of the window will be pasted into the rich text editor.

Format the pasted text

  1. Check the paragraph formatting.
  2. Re-apply sub-headings, lists and tables, as required.
  3. Click the Save button.
